# How to run a ghost-inventory audit in Hoard

> The exact steps in Hoard to find listings that might not physically be on your shelf and clear them, including right after a cancelled order.

If you suspect some of your TCGplayer listings aren't actually sitting in your bins anymore, Hoard already does part of the audit for you. It tracks every quantity change and flags the ones it can't explain with a matching sale. Here's how to find those flags and work through them.

## Step 1: Open the Audit view

In the Cards tab toolbar, click **Audit**. This filters your table to cards that are currently listed (quantity above zero) with at least one unexplained quantity drop in their history — a drop Hoard couldn't tie to a matching order.

If you're doing a quarterly physical count, start here. Hoard has already narrowed the list from "every listing" to the ones most likely to be wrong.

## Step 2: Check each flagged card against your shelf

For every card in the Audit view:

1. Physically check whether the card is actually there.
2. If it's there, click the amber audit dot on that row and categorize the drop — sold on another platform, manually removed, listing fix / SKU correction, or "don't know, just acknowledge." Saving the category clears the dot and removes the card from the Audit view.
3. If it's not there, delist it or fix the quantity directly on TCGplayer. Hoard picks up the change on your next sync.

Manual categories stick. If a late TCGplayer order sync later explains the same drop, Hoard keeps your manual answer rather than overwriting it, since you already checked the shelf.

## Step 3: Save your work as a list, if you want a durable record

The Audit filter isn't exportable as a CSV — the two export links in the Cards tab always produce your price-update file, regardless of what filter is active. To keep a list of what you audited, click **Audit**, then **Add results to a list** in the same panel. The list holds exactly the rows you were looking at.

## Right after a cancelled or refunded order

A cancelled or refunded TCGplayer order is one of the more common causes of an unexplained decrement, because the original sale that would have explained the quantity drop no longer counts as a match. If you just had an order cancel or refund and want to confirm your inventory is right again:

1. Run **Sync Now** from the dashboard so Hoard has the latest state.
2. Open the **Audit** view and look for the card from that order.
3. If the card is still on your shelf (the order never actually shipped), categorize it as "manually removed" or acknowledge it — the physical count is unaffected.
4. If the quantity is genuinely gone, treat it like any other unexplained drop: fix it on TCGplayer and let the next sync pick it up.

Give it a sync cycle or two before assuming something's wrong — reconciliation between order data and inventory data runs on separate cadences, so a just-cancelled order can take a cycle to settle.

## Why cards get flagged in the first place

Hoard looks for an order matching a quantity drop within the same window. If it can't find one, common reasons include: the sale hasn't synced yet, a sync was paused or failed during the window, the listing was edited manually on TCGplayer, the listing was delisted without a sale, a returned card wasn't re-shelved, or the listing really is a ghost. Hoard can't tell these apart on its own — that's what your shelf check is for.

## What Hoard never does here

Hoard never delists a card, adjusts your TCGplayer quantities, or creates listings on your behalf. It flags; the fix runs through the same TCGplayer tools you already use.
